What are Piano Agents – and how do they help your team get answers faster?

What are Piano Agents?

Piano Agents are AI agents that read your Piano Analytics data and explain it in plain language. You can use them in two ways: in Piano Agents Chat and in the Piano Agents App.

Chat: Open it from any board, workspace or Data Query in Piano Analytics, and it picks up the context of where you are. Ask a question in plain language, and get an answer based on your data.

App: Get a mobile feed where agents watch your Piano Analytics workspaces in the background and publish short updates about what changed and why. It's live on iPhone now, with Android coming soon.

Why should I care about Piano Agents?

In a recent Piano study, 75% of businesses said they made decisions without data this year because the data arrived too late.

The data existed, but it arrived after the decision was made: getting an answer often means asking an analyst, and analysts are often busy helping everyone else in the company.

Piano Agents take that load off. Decision-makers get answers and updates directly, in plain language, at the moment they need them. And analysts get fewer interruptions and more time for deeper work.

What do Chat and the App have in common?

Both are Piano Agents, so they share the same basics:

  • They read your Piano Analytics data and explain it in plain language, so you don't need to be an analyst to use them.

  • They only work with your organization's data. If you have access to several organizations, you choose one in General Settings.

  • Your team stays in control. Only administrators create agents for the App and decide who can follow them, and your IT team decides which tools Chat can connect to.

  • Both are live today.

How are Chat and the App different?

The main difference is who starts the conversation. In Chat, you ask a question and get an answer right away. In the App, agents work on their own: an administrator gives each agent a mission and the boards to watch, and from then on it checks your data on a daily or weekly schedule and posts what it finds to your feed.

What can Piano Agents Chat do?

Chat is for digging into a question while you're working in Piano Analytics. Here's what it does, and what each capability is worth to your business.

It starts from where you are. Chat knows your industry, your company, you and the board you have open, and it suggests starting questions based on that board.

Why it matters: nobody faces a blank prompt or re-explains the basics, so people at any level of expertise can start investigating right away.

It finds the cause behind a number. Ask follow-up questions in plain language, and Chat segments the data for you, for example splitting a funnel by age group to show where drop-off is highest. Then it recommends what to fix.

Why it matters: you get to the root cause and a next step in one conversation.

It builds a board from a request. Describe the board you need, such as “a board for my marketing team showing which content is most visited.” Chat checks the properties and metrics in your data model, picks the right KPIs and builds the board live, with a title, description, sections and tiles.

It looks beyond the board. When the answer isn't on the board you're viewing, Chat searches across all of your data to find it. Ask a follow-up like “What’s blocking people at this step?” and it traces the cause, even if no tile on the board shows it.

Why it matters: you get an answer even when the board you're on doesn't have it, without waiting for an analyst to dig it up.

It speaks your language. Ask which KPIs you should watch as a marketing manager, and Chat picks the ones that matter for that job.

It helps you act on what you found. Say you found that one age group drops off more often at a step in your funnel. Ask Chat to save that to your board as a new chart (a tile), already narrowed down to that age group. Chat then suggests a watcher alert, which notifies you in real time if that step performs worse than expected.

Why it matters: a one-off finding becomes something your team keeps an eye on, and you catch the next dip as it happens.

It chooses and changes the visuals. Chat picks the chart type that fits each tile and writes its title and description. Ask for a change, like “improve the layout,” and it reshapes the visuals and groups related tiles together.

It learns how you work. Chat draws on what you tell it, instructions you write once and how you use the product. If it remembers something wrong, just tell it. It can also use context from the tools your IT team approves, such as selected Slack channels, alongside your Piano Analytics data.

Why it matters: answers fit how your team works, without you repeating yourself every time.

What can the Piano Agents App do?

The app brings the numbers that matter, explained in plain language, to people who need answers on the go, without logging into Piano Analytics.

Set up once, and agents do the rest. An administrator sets up each agent once: what it watches, how often it posts and who can follow it. Then it runs in the background.

Why it matters: one setup serves everyone who follows that agent, with updates customized for their role.

There are two kinds of updates that come in your feed: Pulse and Digest.

Pulse vs Digest: What's the difference?

Both are written by the same agents, in plain language, and both land in the same feed on your phone.

The main difference: scope. A Pulse update zooms in on a handful of specific insights from the boards an agent watches. A Digest steps back and sums up the most important things across the agent's whole workspace.

Pulse updates flag what needs your attention. Daily and Weekly Pulse bring a handful of insights from the boards an agent watches: what's trending, what's at risk, milestones, alerts and hidden gems. The agent picks the data, chooses the visual and explains it in plain language.

Digest updates cover the whole workspace. A Digest sums up the most important things across everything an agent watches.

You can go deeper on anything that catches your eye. Tap an insight to read the full analysis and explore the visual full screen.

Your feed follows your role. Every agent in your organization appears by default. Pick the ones relevant to you in Settings, and filter your feed by unread posts or by agent.

Who gets the most out of Piano Agents?

Anyone who needs an answer faster than a report can deliver it. Here's what each role gets.

Role

What they get

Executives and decision-makers

The key numbers and takeaways on their phone, with a notification when something important needs a decision

Editors-in-chief and newsroom leads

Regular stories on which topics, formats and traffic sources bring readers in and keep them reading

Marketing and product teams

A plain-language answer and a recommendation, whatever their level of expertise

Analysts and data teams

A path from a segmented funnel to its cause and a monitored tile in one conversation, and fewer interruptions

Analytics administrators

One agent setup that sends every follower stories written for their role

IT teams

The final say on which of your company's other tools Chat can connect to and draw on

How do I get started?

Chat: open it from any board, workspace or Data Query in Piano Analytics, using your existing login.

The app: download it on iPhone and sign in with your Piano Analytics account. Administrators create agents in Settings > Manage Agents. A new agent runs overnight, so its first post arrives the next morning for a daily agent, or the next Monday for a weekly one.

Want to see both in action? Join our Product Deep Dive on Tuesday, November 10, at 4 PM CET / 10 AM ET.

Frequently asked questions

Is the app a smaller version of Piano Analytics? No. It shows your data as short stories written by agents, instead of dashboards you have to interpret. Piano Analytics is still where you go for deeper analysis.

We already have dashboards. What do agents add? A dashboard waits for someone to open it. Agents watch your boards for you and bring the story to the people who decide, daily or weekly.

Does Chat replace Piano AI? No. Piano AI keeps writing plain-language summaries and building reports from your questions. Chat adds an agent that works across your boards, workspaces and Data Query.

What's coming next? Android, and the ability to chat with your agents inside the app to ask about their insights and follow up on a post.
